Event Terms and Conditions
Last updated: 4 October 2026. Version 1.0.
These terms apply to every IRL event you book, buy a ticket for, RSVP to or attend. Please read them before you book. Sections 2.6 (refunds), 3 (entry) and 5.3 (our liability) are the ones people most often ask about.
1. About these terms and how booking works
1.1 Who you're dealing with
These terms are between you and IRL Ventures Ltd, a company registered in England and Wales (number 16463901), registered office The Wheelhouse, Angel Court, 81 St Clement's Street, Oxford OX4 1AW, trading as IRL Oxford, Date IRL and IRL UNI ("IRL", "we", "us"). Contact: team@irloxford.co.uk or WhatsApp 07376 715840.
We organise and promote events. Unless the event page says otherwise, we are the organiser and the seller of your ticket, whichever platform you book through.
1.2 Words we use
- Event: any event, night, social, experience or activity organised, co-organised or promoted by IRL under any of our brands.
- Ticket: any ticket, booking, reservation, RSVP, wristband, guest-list place or other right to attend an Event, paid or free.
- Booking Platform: the platform you used to book, such as Fixr, Eventbrite, OutSavvy, Meetup, or our own website checkout when it launches.
- Venue: the place where the Event is held, and the people who run it.
- You: the person booking and every person attending on a Ticket. If you book for others, you must make sure they know and accept these terms.
1.3 How booking works, by platform
| How you book | Who sells you the Ticket | Other terms that also apply |
|---|---|---|
| Our own website checkout (coming soon) | IRL. Payments will be processed by Stripe or a similar provider | Payment provider's terms for the payment |
| Fixr | IRL, as the event organiser. Fixr collects the money for us | Fixr's customer terms and its cancellations and refunds policy, including for Fixr's own booking and transaction fees |
| Eventbrite | IRL, as the event organiser | Eventbrite's terms of service |
| OutSavvy | IRL, as the event organiser | OutSavvy's terms of service |
| Meetup | IRL, as the group organiser | Meetup's terms of service |
| At the door, cash or card (Tide card reader) | IRL | Tide's terms for card payments |
| Free RSVP or guest list | IRL | None |
| Group, society or corporate booking | IRL, under the booking organisation's agreement with us | Our B2B Terms apply between us and the organisation. These Event Terms apply to every attendee |
Listing sites such as Daily Info and Neya only advertise our Events. They link to one of the routes above, and don't sell Tickets for us.
If something in a Booking Platform's terms conflicts with these terms on a point about our Event (for example, entry conditions or our refund policy), these terms apply. A Booking Platform's terms govern its own services and fees.
1.4 When the contract starts
Our contract with you starts when we, or the Booking Platform on our behalf, confirm your booking, usually by email or in the platform's app. For door sales it starts when you pay. For free RSVPs it starts when your place is confirmed. Free Tickets are still subject to these terms.
1.5 Other rules that apply at Events
When you attend, you must also follow:
- our Code of Conduct;
- our Photography and Filming Policy;
- the Venue's rules, including its entry policy, dress code, licensing conditions, and safety instructions; and
- any instructions from our staff, Venue staff, security or emergency services.
Our Privacy Policy explains how we use your data.
1.6 Changes to these terms
We may update these terms from time to time. The version that applies to your booking is the one in force when you booked, unless a change is required by law or for safety, in which case we will tell you before the Event.
2. Tickets, prices, payment, refunds and transfers
2.1 Prices and fees
The price we show for a Ticket is the total you have to pay, including any mandatory booking, service or transaction fees, whether we charge them or a Booking Platform does. Optional extras, such as refund protection offered by a Booking Platform, are shown separately and are your choice. If a price shown is wrong because of an obvious error, we'll contact you before confirming, and you can choose to pay the correct price or cancel for a full refund.
2.2 Ticket types and conditions
Each Event page sets out the Ticket types available and any conditions, such as:
- age limits (see section 3.1);
- student prices that require valid student ID on the night;
- Date IRL ticket categories, age ranges or numbers balancing (see section 4.3);
- entry time windows (for example "entry before 10pm");
- what's included (for example a welcome drink or food).
If you can't meet a condition of your Ticket on the night, for example you don't have the student ID a student Ticket requires, we may ask you to pay the difference or refuse entry.
2.3 Payment
You must pay in full when you book unless the Event page offers a payment plan. Payment plans offered through Fixr are also governed by Fixr's terms, including what happens if you miss an instalment. We may cancel a booking if payment fails or is reversed.
2.4 Your Ticket
- Keep your Ticket safe and have it ready on your phone or in print. Don't share your QR code: whoever scans it first gets in.
- One Ticket admits one person once, unless the Event page says re-entry is allowed.
- We are not responsible for lost or stolen Tickets, but if you contact us before the Event we will try to reissue them to the original booker.
2.5 Tickets can't be transferred
Tickets are personal to the person named on them and cannot be transferred, sold or given to anyone else, including Date IRL Tickets. We may ask for ID to check that the person attending is the person named on the Ticket, and refuse entry if they're not.
2.6 Refunds
Your legal position. The 14-day cancellation right that normally applies to buying online does not apply to tickets for leisure events on a specific date (regulation 28(1)(h) of the Consumer Contracts Regulations 2013). This means you can't cancel just because you've changed your mind, unless we say so below.
Our refund policy.
| Situation | What happens |
|---|---|
| You change your mind or can't attend | No refund, unless the Event page offers one |
| We cancel the Event | Full refund of the Ticket price. Booking, service or transaction fees charged by a Booking Platform for its own service are refunded only if that platform's policy provides for it |
| We move the Event to a new date | Your Ticket is valid for the new date. If you can't make it, ask for a refund within 14 days of us telling you about the new date |
| We make a significant change (see section 5.1) | You can choose to keep your Ticket or have a refund, if you ask within 14 days of us telling you |
| You are refused entry or removed for breaking these terms, the Code of Conduct or Venue rules | No refund |
| You are refused entry because you can't show acceptable ID or don't meet the age limit | No refund |
| You withdraw your Date IRL consent before the Event | We'll move you to another Event or refund you |
| Venue over capacity or our error means we can't let you in | Full refund |
Refunds go back to the original payment method, normally within 14 days of being agreed. Booking Platforms may take longer to process them.
Chargebacks. Please contact us before asking your bank for a chargeback, because we can usually sort things out faster. If you make a chargeback for a Ticket you used, or which these terms say isn't refundable, we may dispute it, recover our costs where the law allows, and refuse future bookings.
2.7 Resale and touting
Tickets are for personal use. You must not resell a Ticket for more than you paid for it, or sell it as part of a business, or use automated software ("bots") to buy Tickets. If we find a Ticket has been resold or transferred in breach of these terms, we may cancel it without a refund, and anyone holding it may be refused entry.
2.8 Free RSVPs, guest lists and waiting lists
Free places are limited. If you can't come, please cancel your RSVP so someone else can have your place. If you repeatedly book free places and don't attend, we may limit your future free bookings. Guest-list places may close at a stated time, and entry is still subject to capacity and section 3.
2.9 Paying at the door
Where door sales are available, prices are shown at the entrance. Door entry depends on capacity, and we can't guarantee there will be space.
3. Entry to Events
3.1 Age limits
- Most Events are strictly 18+. This includes all Date IRL Events and all evening Events in licensed venues, unless the Event page clearly says otherwise.
- Some daytime or community Events welcome under-18s. The Event page will say so and set out any conditions (see section 3.6).
- Some Events have their own age ranges, such as Date IRL Events for particular age groups (see section 4.3).
3.2 ID
We and our Venues operate Challenge 25, including when we run the bar ourselves under a Temporary Event Notice: if you look under 25, you'll be asked for ID. At 18+ Events, bring valid, in-date photo ID. Unless the Event page or Venue says otherwise, we accept:
- a passport;
- a UK or EU photo driving licence (full or provisional);
- a PASS-hologram proof of age card (including the Citizen Card and Validate UK cards);
- a UK military ID card; and
- any digital ID the Venue accepts under its licence.
Photos or photocopies of ID are not accepted. If you can't show acceptable ID when asked, you'll be refused entry and won't get a refund. Some Venues scan ID using their own systems. That is the Venue's responsibility, and its own privacy notice applies.
3.3 Searches and prohibited items
You, your bags and your belongings may be searched as a condition of entry and at any time during the Event. If you refuse a search, you'll be refused entry or removed. Do not bring:
- weapons or anything that could be used as one;
- illegal drugs, psychoactive substances or drug paraphernalia;
- your own alcohol, unless the Event page says it's allowed;
- flares, fireworks, smoke canisters, laser pens, or anything else dangerous;
- glass bottles, unless the Venue allows them;
- large bags, if the Venue restricts them;
- professional cameras, drones or recording equipment, without our permission (see the Photography and Filming Policy).
We and the Venue may confiscate prohibited items. We will hand illegal items, and information about them, to the police.
3.4 Refusal of entry and removal
We, the Venue and security staff may refuse entry or remove anyone, without a refund, who:
- appears to be drunk or under the influence of drugs;
- breaks these terms, the Code of Conduct or the Venue's rules;
- behaves in a way that is unsafe, threatening, abusive or discriminatory;
- is banned from our Events or the Venue; or
- doesn't meet the age, ID, Ticket or dress code conditions.
The Venue and its licence holder have the final say on entry to their premises.
3.5 Arrival, capacity and re-entry
- Arrive within any entry window shown on your Ticket. Late arrival may mean you can't get in, especially for timed Date IRL rounds.
- Entry depends on the Venue's capacity, even if you have a Ticket. We don't oversell Tickets, but if we can't admit you because of capacity, you'll get a full refund.
- Re-entry is at the Venue's discretion and may not be allowed.
3.6 Under-18s at daytime and community Events
Where an Event page says under-18s are welcome:
- every under-18 must be accompanied by a parent, guardian or responsible adult aged 18 or over, who is responsible for them throughout;
- no one under 18 may buy or drink alcohol, and adults must not buy alcohol for them;
- we may ask for proof of age; and
- the accompanying adult must stay with the young person and follow our and the Venue's instructions.
3.7 Accessibility
We want everyone to be able to come. Event pages describe the Venue's access where we know it. If you have an access need, tell us when you book or before the Event, and we'll consider your request individually and do what we reasonably can to make adjustments. Accessibility information you give us is handled as set out in our Privacy Policy.
3.8 Safety and emergencies
Follow instructions from our staff, Venue staff, security, stewards and emergency services at all times, including during evacuations, lockdowns or other emergency procedures. Venues and Events above certain sizes have specific public protection duties under the Terrorism (Protection of Premises) Act 2025 (Martyn's Law) as they come into force, and you must cooperate with them.
3.9 Lost property
We hand all lost property found at our Events to the Venue. Please contact the Venue to claim it. The Venue's own lost property policy applies, and we're not responsible for items after we've handed them over.
4. Behaviour, safety and Date IRL Events
4.1 How we expect everyone to behave
Our Code of Conduct forms part of these terms. In short: treat everyone with respect, take no for an answer, and look out for each other. We have zero tolerance for harassment, sexual harassment, discrimination, violence, threats, spiking, and filming people without their consent. Breaking the Code of Conduct can lead to removal without a refund, a ban from all IRL brands, and reporting to the police.
4.2 Our staff and partners
Our team, subcontractors, volunteers and Venue staff are covered by the same Code of Conduct. Abuse, harassment or threats towards anyone working at an Event will lead to removal and may lead to a ban and a police report. You may be asked to leave if you obstruct staff carrying out their duties.
4.3 Date IRL Events
Date IRL Events bring single people together. Because they involve meeting strangers in a dating context, these extra terms apply.
Who can come. You must:
- be 18 or over, and within any age range stated for the Event;
- be single, or attending in good faith to meet someone new, and honest about your situation with the people you meet;
- give accurate information about yourself when you book, including the Ticket category, gender and age range we ask for; and
- give the explicit consent we ask for when you book, which lets us use this information to run the Event and matching (see our Privacy Policy).
Ticket categories and balance. Some Date IRL Events have Ticket categories or numbers limits, for example to balance the people who want to meet each other, or are designed for particular groups, such as LGBTQ+ singles or particular age ranges. The Event page will explain who the Event is for. We run Events like this in line with the Equality Act 2010. You must book in the category that genuinely applies to you, and if we reasonably believe a booking has been made in the wrong category to get around a limit, we may move it or cancel it with a refund.
Matching. At or after the Event, you can choose who you'd like to see again. A match only happens when two people choose each other. When you match, we share with that person only your first name and the contact detail you chose to share: your phone number, email address or Instagram handle. We send matches by email, WhatsApp, text message or in our app. We never share anything with someone you didn't choose, and we don't tell anyone who didn't choose them back. We can't guarantee you'll get any matches.
Using matches respectfully. If you match with someone:
- contact them respectfully, and only through the contact detail they shared;
- if they don't reply or say no, stop contacting them;
- don't share their details with anyone else or post about them without their permission.
Harassing a match, or anyone you met at an Date IRL Event, is a breach of the Code of Conduct even if it happens after the Event or online. We may ban you from all IRL Events and report it to the police.
No commercial activity. You must not use Date IRL Events to promote a business, recruit people, sell anything, or collect contact details for anything other than personal dating.
Staying safe on dates. We vet our Venues and run our Events carefully, but we don't carry out background checks on attendees, and we're not responsible for what happens on dates arranged after an Event. When meeting a match:
- meet in a busy public place, and arrange your own transport;
- tell a friend where you're going and who you're meeting;
- keep personal details such as your address private until you're comfortable;
- watch your drink and don't leave it unattended; and
- if you feel unsafe, leave. In an emergency, call 999.
If someone you met through IRL makes you feel unsafe, please tell us. We'll take it seriously (see the Code of Conduct).
4.4 IRL UNI Events
Some IRL UNI Events are for students only. You may need to show valid student ID or proof of enrolment on the night. Where we run an Event with a society, university or students' union, their rules may also apply, and we may share information about a serious incident with them where it's lawful and necessary to keep students safe.
4.5 Alcohol and your wellbeing
Drink responsibly. Venues, and we when we run the bar under a Temporary Event Notice, must not serve people who are drunk, and you may be refused service or removed if you are. If you feel unwell, or think you or a friend may have been spiked, tell our staff, the Venue or security immediately. Spiking is a criminal offence, and we will always involve the police where someone may have been spiked. Where a Venue takes part in safety schemes such as Ask for Angela, its staff will help discreetly.
4.6 Your property and behaviour that causes damage
You are responsible for your own belongings. You must not damage the Venue or anyone else's property. If you do, you may have to pay for the damage, and we may share your details with the Venue so it can recover its costs.
5. Changes, cancellations, liability and the law
5.1 Changes we may make
We sometimes need to change details of an Event, such as the start or finish time, the line-up, DJs or hosts, the running order, the activities, or the room within a Venue. These changes don't entitle you to a refund.
A significant change is one that substantially changes what you booked, such as:
- moving the Event to a different date;
- moving it to a different venue that is materially less convenient or materially different in character;
- removing a headline act or main activity that the Event page clearly advertised as the main reason for the Event; or
- changing the nature of the Event (for example, an Date IRL Event becoming a general social).
If we make a significant change, we'll tell you as soon as we reasonably can, and you can choose a refund under section 2.6.
5.2 Events outside our control
We aren't responsible for failing to run an Event, or for delays or changes, caused by things outside our reasonable control. Examples include severe weather, fire, flood, power failure, the Venue becoming unavailable through no fault of ours, illness of key performers, strikes, transport disruption, public health measures, acts of terrorism, government or police instructions, or a licensing decision. If this happens, we'll refund your Ticket price under section 2.6 if we cancel or significantly change the Event. We're not responsible for travel, accommodation or other costs you've incurred, unless they were caused by our negligence or breach of these terms.
5.3 Our liability to you
What we don't limit. Nothing in these terms excludes or limits our liability for:
- death or personal injury caused by our negligence, or the negligence of our staff or subcontractors;
- fraud or fraudulent misrepresentation; or
- anything else that cannot be excluded or limited by law, including your rights under the Consumer Rights Act 2015.
Our duty to you. We will provide our services with reasonable care and skill and as described on the Event page.
What we're responsible for. If we break these terms or are negligent, we're responsible for loss or damage you suffer that is a foreseeable result. Loss or damage is foreseeable if it's obvious it would happen, or if both of us knew it might happen when you booked.
What we're not responsible for. We are not responsible for:
- loss or damage that wasn't foreseeable;
- loss or damage caused by the Venue, a Booking Platform or another third party who isn't acting for us, including the condition of the Venue's premises, its food and drink, its staff, CCTV and ID systems. The Venue is responsible for its own premises, licence and staff;
- loss of, or damage to, your belongings, unless it's caused by our negligence. Use cloakrooms at your own risk under the Venue's terms;
- the behaviour of other attendees, unless we failed to take reasonable steps we should have taken;
- what happens on dates or meetings arranged between attendees after an Event; or
- business losses. Tickets are for personal use, so we're not responsible for loss of profit, business or opportunity.
Limit. Where our liability can lawfully be limited, our total liability to you is limited to the price you paid for your Ticket. For free Events, it is limited to £100.
5.4 Your responsibility
You are responsible for any loss or damage you cause to us, the Venue, our partners or other attendees by breaking these terms, the Code of Conduct or the Venue's rules, or by acting negligently or deliberately.
5.5 Insurance
We hold public liability insurance of £10 million covering our Events. Venues hold their own insurance for their premises.
5.6 Complaints
If you're unhappy with an Event or anything else, please contact us at team@irloxford.co.uk or on WhatsApp 07376 715840 as soon as possible, ideally within 14 days. We'll acknowledge your complaint within 10 working days and aim to resolve it within 30 days. This doesn't affect your legal rights.
5.7 General
- If any part of these terms is found to be unenforceable, the rest still applies.
- If we don't enforce a right straight away, we can still enforce it later.
- No one else has rights under these terms, except that a Venue may rely on sections 3 and 4.6, and the person who booked for you may rely on your acceptance of these terms.
- We may transfer our rights and obligations under these terms to another organisation that takes over our Events. We'll tell you if this happens, and it won't reduce your rights.
- These terms, together with the documents referred to in them and the Event page, are the whole agreement between us about your Ticket.
5.8 The law that applies
These terms are governed by the law of England and Wales. You can bring legal proceedings in the courts of England and Wales. If you live in Scotland or Northern Ireland, you can also bring proceedings in your own country's courts.
